You’ve been asked to organise the company lunch or event.

You know the date. You roughly know how many people are coming.

Then comes the question everyone eventually asks:

“So… how much should we budget for catering?”

At FoodGather Catering, individual meal boxes start from RM18 per person, corporate buffet menus start from RM30 per person, while Full Service setup starts from RM800 plus food.

But catering cost isn't simply number of guests × price per person.

Your menu, venue, setup, manpower and the kind of experience you want can all affect the final quotation.

So I normally start with one simpler question:

Do you just need the food, or do you need us to take care of the setup too?

Once we know that, everything becomes much easier.

Themed food kiosks, live stations and customised corporate events are quoted according to the actual event requirements.

These are starting prices because catering for 20 people having lunch in a meeting room is very different from catering for 200 people at a corporate event.

Which Catering Option Makes Sense?

Here are three simple examples.

20-person meeting?
Meal boxes may be all you need. They're individually packed, easy to distribute and require very little setup.

60-person company celebration?
A buffet may make more sense. People can mingle, choose their food and eat at their own pace.

150-person corporate event?
Now we need to think beyond food. How many buffet lines? How much equipment? How many service crew? What's the venue access like?

That's why guest count alone doesn't tell us how much an event will cost.

That's why FoodGather offers Food Only catering.

We prepare the food without providing the full buffet setup or service crew.

For many office lunches, meetings and smaller gatherings, that's perfectly sufficient — and it means you aren't paying for setup you don't need.

What About Delivery?
For Food Only, you have three choices:

Self-pickup — recommended
Collect directly from FoodGather at the agreed time.

Arrange your own driver
You're welcome to book your preferred third-party delivery service.

Ask FoodGather to assist
We can help book a third-party driver on your behalf.

If we assist, the delivery fee is paid directly to the driver at the receiving end.

FoodGather is only assisting with the booking, so we don't control the driver's price, availability or actual delivery timing.

For events with very strict timing, self-pickup or arranging your own preferred driver gives you better control.

When Is Full Service Worth Paying For?

Full Service makes sense when you want us to take care of more than the food.

Depending on your event, this can include buffet tables, chafing dishes, presentation, equipment, setup and dismantling, service crew and event logistics.

Full Service setup starts from RM800, excluding food.

But RM800 is only the starting point.

A smaller event may need one buffet line and limited manpower. A larger event could need several buffet lines, more equipment and four or more service crew.

We look at what your event actually needs and quote accordingly.

Don't Forget the Venue

Two events can both have 100 guests and still require very different amounts of work.

At one venue, we may unload close to the event space and bring everything straight in.

At another, there may be security registration, loading-bay clearance, lift access and a long distance between the loading bay and event space.

Same number of guests. Very different logistics.

That's why venue information matters when requesting a quotation.

What Else Affects Your Budget?

Guest count — Larger events may require more equipment, buffet lines and manpower.

Menu — Proteins, seafood, desserts, number of dishes and dietary requirements can affect pricing.

Service crew — Larger events may require several crew to manage the buffet and service.

The experience — A straightforward office lunch costs very differently from themed kiosks, live stations or customised food experiences.

So, How Much Should You Budget?

Individual meals: From RM18/pax

Corporate buffet: From RM30/pax

Food Only: Food price + any third-party delivery required

Full Service: From RM800 setup + food

Large/customised events: Request a quotation based on the actual requirements.

A Practical Tip From FoodGather

After working on different types of corporate catering events, there's one thing I often tell customers:

Don't start by choosing the menu. Start by understanding the event.

Is it a quick lunch between meetings or a company celebration?

Will everyone eat at the same time?

Do you simply need good food, or is presentation part of the experience?

A RM50 menu isn't automatically better than a RM30 menu. Full Service isn't automatically better than Food Only either.

Sometimes a well-planned meal box is exactly what you need. Sometimes presentation and service matter.

The goal isn't to spend the most. It's to spend in the right places for your event.
